Free Hostel Fee Tracker (Excel Template)

What is inside

• Summary — total fees due, amount collected, outstanding balance, collection rate, and how many students are paid, partly paid or not paid. Expenses by category and collections minus expenses.
• Students — ID, name, room, phone, guardian, joining date and total fee. Paid amount, balance and status fill in automatically.
• Payments — date, student ID, amount, mode (cash, UPI, bank transfer, cheque) and receipt number. The student's name appears automatically.
• Expenses — rent, salaries, food, electricity, water, internet, repairs and other costs.

How to use it

1. Add each student once on the Students sheet with their total fee for the year or stay.
2. Every time a student pays, add one row on the Payments sheet using the same student ID.
3. Add your costs on the Expenses sheet.
4. Open Summary to see who still owes money and how the hostel is doing. Yellow cells are for typing; everything else is calculated.

How many students can it hold?

The sheets are prepared for 300 students, 300 payments and 300 expense rows. You can copy rows down to add more.

When you need receipts, instalment due dates, several buildings or more than one person entering payments, hostel software saves time and avoids mistakes.
