Hostel and PG owners usually ask two questions about software before anything else: how much does it cost, and what do I actually get for that price. Prices in India range from free spreadsheets to custom systems costing lakhs, and the way vendors quote can make two products very hard to compare.
This guide explains how hostel management software is priced in India, what should be included at every price, the costs that are easy to miss, and how to size a plan for a hostel of 50 to 150 students. We use CSNexa's published plans as a worked example, but the checklist works for any product.
How hostel management software is priced in India
Most products use one of five pricing models. Knowing which one you are looking at is the first step to comparing them fairly.
| Pricing model | How it works | Watch out for |
|---|---|---|
| Per student or per bed | A monthly or yearly charge for every resident | The bill grows every admission season; check how vacant beds are counted |
| Plan by hostel size | A fixed yearly price for a range of students, e.g. up to 50 or up to 100 | What happens when you cross the limit mid-year |
| Per building or per property | A charge for each building or branch | Costs double when you open a second building |
| One-time licence | Pay once, often with a yearly maintenance fee | Updates, hosting and support may cost extra every year |
| Custom-built software | A developer builds a system only for you | Highest cost and longest wait; you also pay for every later change |
For most private hostels and PGs, a yearly plan sized by student count is the easiest to budget: one predictable amount, paid once a year, that only changes when the hostel grows.
What should be included at every price
A cheap plan is not cheap if it leaves out the parts you use every day. Whatever the price, make sure these are included rather than sold as add-ons:
- Rooms and beds — buildings, floors, rooms with bed capacity, and a live view of free beds.
- Student records — guardian contacts, joining date, room and room-transfer history.
- Fees and dues — fee packages, installments with due dates, and an automatic balance for every student.
- Payments and receipts — cash, UPI, bank transfer and cheque, each with a numbered receipt.
- Expenses and profit — expenses by category, and a profit and loss view.
- Data export — the ability to download your records, so you are never locked in.
Our 12 must-have features checklist covers each of these in detail.
Costs that are easy to miss
Ask every vendor these questions in writing before you compare prices:
- Setup and data entry. Is there a one-time setup fee? Who enters your existing students and rooms?
- Messages. If the product sends SMS or WhatsApp messages, are message credits charged separately?
- Extra buildings and staff users. Is a second building or a new warden login an extra charge?
- Exports. Can you download all your data at any time, at no cost?
- Renewal. Does the price stay the same in year two, or is the first year a discount?
- Support. Is phone or WhatsApp support included, and during which hours?

Book a Free DemoPricing for a hostel of 50 to 150 students
Most private hostels and PGs in India have between 50 and 150 residents. At that size you need proper fee tracking and receipts, and often a second building or a separate girls' block. Here is how CSNexa's published plans map to that range:
| Students | CSNexa plan | Price per year | Works out to |
|---|---|---|---|
| Up to 50 | Starter | ₹2,999 | About ₹250 a month |
| 51 to 70 | Standard | ₹4,999 | About ₹417 a month |
| 71 to 100 | Growth | ₹8,999 | About ₹750 a month |
| 101 to 300 | Scale | ₹15,000 | About ₹1,250 a month |
| Above 300 | Custom | Quoted for your hostel | — |
What changes as you move up:
- Starter (up to 50) covers student and room records, room allocation, fee and due tracking, an expense ledger and standard reports for a single building.
- Standard (up to 70) adds single, double, triple and quad rooms, detailed payment histories and installment schedules with due dates.
- Growth (up to 100) adds multi-building support, profit and loss and collection reports, and staff roles and permissions. This is usually the right plan if you run separate boys' and girls' buildings.
- Scale (up to 300) covers larger hostels with a high-capacity student roster, complete financial reports and multi-user permissions. A 120- or 150-student hostel falls here.
You can move up a plan as your student count grows; your buildings, rooms, students and payment history stay where they are. See the full comparison on the CSNexa Hostel Management pricing section.
How to judge whether software is affordable
"Affordable" is not the lowest price — it is the price that pays for itself. A simple way to check: compare the yearly cost with the fees that slip through without a system.
Example (illustrative numbers): a hostel charging ₹6,000 a month per student pays ₹4,999 a year for the Standard plan. If better due tracking recovers one student's missed month during the year, the software has more than paid for itself. Run the same sum with your own fee and plan.
Other signs a plan is good value:
- It replaces work you do today — the receipt book, the fee register and the month-end calculation.
- Your warden or accountant can use it without training from you every week.
- You can export your data and leave at any time.
Free software, a spreadsheet, or a paid plan?
A well-kept spreadsheet works for a small hostel with one person in charge — our free hostel fee tracker template is a good start. Free hostel apps can also work, but check how the vendor makes money (ads, paid add-ons or selling data), whether you can export everything, and who answers when something goes wrong. Once more than one person records payments, or you add a second building, a paid plan with receipts, roles and reports usually costs less than the mistakes it prevents.

Frequently asked questions
How much does hostel management software cost in India?
It depends on the pricing model and hostel size. CSNexa's plans are ₹2,999 a year for up to 50 students, ₹4,999 for up to 70, ₹8,999 for up to 100 and ₹15,000 for up to 300, with custom pricing above 300.
Which plan does a hostel with 120 students need?
A hostel with 101 to 300 students fits CSNexa's Scale plan at ₹15,000 a year.
Can I change my plan later?
Yes. When your student count grows, move up to the next plan. Your buildings, rooms, students and payment history stay as they are.
Is free hostel management software good enough?
It can be for a very small hostel. Check that you can export all your data, who provides support, and whether key features such as receipts or reports are paid add-ons.
