A sales demo shows you the software at its best. A free trial lets you find out how it behaves with your hostel. Both are useful, but only if you go in with a plan — otherwise you click around for ten minutes, everything looks fine, and the problems appear after you have paid.
This checklist gives you 10 practical tests to run in any hostel management software demo or free trial, what a good result looks like, and the questions to settle before you buy.
Demo or free trial: what each is good for
| Live demo | Free trial | |
|---|---|---|
| Best for | A quick overview and your questions answered | Testing the daily work yourself |
| Time needed | 20–40 minutes | A few hours spread over a week or two |
| Who drives | The vendor | You and your warden or accountant |
| What you learn | Whether the product fits your hostel at all | Whether your staff can actually use it |
The best approach is both: a demo to shortlist, then a trial with the product you are most likely to buy. In a demo, ask the presenter to run the tests below while you watch.
Before you start: prepare sample data
Use realistic but sample data — one floor of rooms, five or six students with made-up names, and last month's fee structure. You learn just as much, and you do not put real students' details into a system you have not chosen yet.
The 10 tests
1. Recreate one real floor
Add a building, a floor and a few rooms with their real bed capacities — single, double, triple or quad. Good result: it takes minutes, and you can add a range of room numbers at once instead of one by one.
2. Admit a student and allot a bed
Add a student with guardian name and phone, joining date and room. Good result: the room's free-bed count updates immediately, and a full room cannot be over-filled by mistake.
3. Move a student to another room
Transfer the student to a different room or building. Good result: the move is recorded with who made it and when, so you can answer "when did they change rooms?" months later.
4. Apply a fee package — and one exception
Assign a package (for example with WiFi and food) and then give one student a different arrangement. Good result: the exception is recorded on that student, not by creating a new package for one person.
5. Split the fee into installments
Create two or three installments with due dates. Good result: each shows a clear status such as Paid, Due, Overdue or Upcoming.
6. Record a part payment in cash and one by UPI
Good result: the balance drops by exactly the amount paid, each payment gets its own receipt number, and you can download a PDF receipt to send to a parent. Check that you can see who collected the cash and which account received the UPI payment.
7. Find everyone who owes money — in under a minute
Good result: one screen or report lists every student with fees outstanding and how much. If this takes a spreadsheet export and a formula, keep looking.
8. Add expenses and check the month's profit
Enter a salary, an electricity bill and a grocery bill against a building. Good result: a profit and loss view shows collections against expenses without you doing the maths. See our guide to tracking hostel expenses and monthly profit.
9. Give a warden limited access
Create a staff role — say a warden who can manage rooms but not delete payments — and sign in as them. Good result: the forbidden action is blocked, and you can switch on two-factor sign-in for extra security.
10. Export your data
Download the due report and the student list. Good result: clean files (for example CSV) that open in Excel. If you cannot get your data out during the trial, you will not be able to later either.

Book a Free DemoQuestions to settle before you buy
- What exactly is the yearly price for my number of students, and does it change at renewal?
- Is a second building or another staff login charged extra?
- What happens to my data if I stop paying — can I still export it?
- Who do I call when something goes wrong, and when?
- What does the software not do? (A good vendor will tell you plainly.)
Our hostel software pricing guide explains the costs to check in more detail.
Red flags during a trial or demo
- The presenter avoids running a test you ask for.
- Receipts or reports are "coming soon" or only in a higher plan you did not ask about.
- No way to export your data.
- Every staff user sees and can change everything.

Frequently asked questions
Is a demo enough, or do I need a free trial?
A demo is enough to shortlist. Before you pay, it is worth having your warden or accountant try the daily tasks themselves, either in a trial or while the vendor shares their screen.
What data should I use in a trial?
Use realistic sample data — one floor, a few made-up students and your real fee structure. You learn the same things without entering real students' details into software you have not chosen.
What is the most important test?
Finding everyone who owes money in under a minute. If the software cannot do that easily, it will not fix the problem most hostels buy it for.
